Instagram DM Follow-Up Template for Med Spas (with Compliance-Safe Pricing Replies)

TL;DR: The average med spa receives 40-120 DMs per week with buying signals and replies to fewer than 10% in the 1-hour window that converts. The fix: a ManyChat auto-reply flow that handles pricing inquiries (compliantly), a story-reply flow that captures warm intent, and a 7-touch nurture for warm leads who don't book on first contact. Below are the templates.

The pricing inquiry flow

Trigger keywords

price, prices, cost, costs, how much, pricing, quote, botox cost, filler price

Step 1 — Auto-reply (within 30 seconds)

Hi {{first_name}}! Thanks for reaching out. Pricing depends on the area treated and how many units/syringes you need — every face is different! I can either: (1) Send you our pricing range so you can ballpark, or (2) Get you a free 15-min virtual consult (most popular). Which sounds better?

Quick reply buttons: "Send pricing range" / "Free virtual consult"

Step 2A — If "Send pricing range"

Here's a starting-point range — your actual quote depends on your goals: Botox/Dysport starts at {{base_price}}/unit. Filler starts at {{base_price}}/syringe. Hydrafacial starts at {{base_price}}. Want me to set up a quick consult for an exact quote?

Step 2B — If "Free virtual consult"

Awesome. Here's the link to grab a consult time: {{consult_booking_link}}. What's your phone number so we can text you a reminder before your consult?

The story-reply flow

Story replies are warmer than cold DMs. Convert them faster:

{{first_name}}! Thanks for the reply! Were you reaching out about {{story_topic}} or something else?

If yes → "{{story_topic}} is one of our most-requested treatments. Free 15-min virtual consult to see if it's a fit?"

Compliance rules (don't skip these)

  • Never quote specific prices in an automated DM if you're in a state with strict pricing-advertising rules (CA, TX, NY, FL all have variations). Use ranges + recommend a consult.
  • Never share before/after photos in DMs without the patient's consent and proper marketing release.
  • Never make medical claims ("this will fix your wrinkles" → "this is what most clients see")
  • Disclose if asked directly: "Am I talking to a person or a bot?" → always honest answer.
  • Don't capture HIPAA-protected info via DM. Move clinical conversations to your secure system.

The 7-touch nurture (for warm leads who don't book on first contact)

Spaced out so it doesn't feel spammy:

  • Day 0: Send a relevant guide.
  • Day 2: Ask what their #1 goal is.
  • Day 4: Send a before/after or 60-sec educational video.
  • Day 7: "We had a cancellation — free 15-min consult on {{day}} at {{time}}."
  • Day 11: Testimonial screenshot from a comparable client.
  • Day 16: "I'll stop nudging after this" exit ramp.
  • Day 30: 15% off offer.

Frequently asked questions

What's the best DM tool for a med spa?

ManyChat ($15-45/mo) for Instagram. Native to Meta, best integration. Chatfuel and MobileMonkey are alternatives.

Will Meta penalize automated DM replies?

Not when done within ManyChat's official Instagram integration. Mass-DMing or auto-friending will get throttled.

How fast should I reply to a DM?

Within 1 hour. Reply rates drop sharply after that.

Should I disclose that the first reply is automated?

Not required by Meta, but if asked directly, always answer honestly. "You're talking to our AI assistant — want me to grab a human?" works fine.
